COVID-19 Policies & Procedures

In an effort to maintain a safe and health conscious environment for our returning scholars, Somerset Academy has taken recommended precautions.  From information gathered by CDC, OCDEL and other city and state government agencies, we have adjusted our daily procedures to ensure the safety of our scholars and staff. 

The following procedures have been implemented and currently in practice:

Social Distancing Markers

Social distancing markers have been put in place to maintain safe distance both outside and inside the building. Somerset Academy has placed brightly colored decals around the premises to promote a safe distance between scholars.

These decals are placed in the following areas:

  • Building entrances
  • Hallways
  • Classrooms

Check In/Out Procedures

At the time of enrollment, children will be added to Brightwheel, a childcare management application. An invitation to download the app will be sent to the parent/guardian via email with instructions on how to install and sign up.

Once signed in, the parent will gain access to their child’s information and will be able to receive notifications from Somerset Academy staff regarding activities and upcoming events. Parents are strongly encouraged to add and update additional information to their child’s profile once signed in.

Check-In/Out Process

Using the Brightwheel app, parents/guardians can easily check their children in and out of care by scanning the QR Code conveniently posted on the front door as well as outside the building.

A staff member will meet the child at the entrance with a thermometer to read your child’s temperature. Individuals with a temperate over 100.4 degrees will not be permitted to enter the building.

Parents/Guardians are asked to answer the following four questions before children can be admitted into the building:

  • Has anyone at home or your child have/had a fever in the last week?
  • Has anyone at home or your child have/had any trouble breathing?
  • Has anyone at home or your child have/had a persistent cough?
  • Has anyone at home or your child been in contact with anyone that has had COVID-19?

If the answer is “Yes” to any of these questions, entrance into the building will be denied until it is reviewed by our CEO and/or Director. Children will be immediately escorted to wash their hands by staff upon entry into the building.

PPE/Face Mask Requirements

To ensure the safety of our scholars and staff, there will be no admittance granted to anyone without a face mask.

All children over 2 years of age will be required to have a face mask. If your child cannot wear a face mask for medical reasons, parents/guardians will need to provide a physician’s note that will be taken into consideration.

Restricted Class Size & Activities

Class sizes have been greatly reduced to allow for social distancing while in the classroom. In addition to classroom size, activity time in play areas have been staggered to minimize the number of students in one area. Students are spread out during meal times to ensure safe distance.

Somerset Academy has placed colorful mats with the child’s name in circle time areas to indicate seating at appropriate social distance lengths. Brightly colored rug markers are also placed throughout classrooms.

Handwashing is done more often and consistently throughout the day and has been incorporated into the classroom’s daily schedule.

Sanitizing and Cleaning Procedures

The following sanitizing and cleaning procedures have been put in place in response to COVID-19:

  • Somerset Academy has hired a cleaning crew to clean, sanitize, and disinfect all areas throughout the entire building; especially those areas which are frequently used by children.
  • There will be a designated staff member to sanitize all toys, shared items and areas throughout the day and immediately after use.
  • Each classroom staff member is equipped with the necessary items to maintain classroom environment cleanliness, including sanitizing wipes.

Professional Healthcare Accessibility

Somerset Academy has access to a professional healthcare team to make onsite visits for any staff member or scholar if the need arises.

If a child becomes ill while in our care, they will be placed in our designated sick area and made comfortable until they are picked up by a parent/guardian.
